Most document data will instead be digital Adobe PDF files, Microsoft Word files, images of documents, or databases. A Microsoft SQL Server database is a relational database management system (RDBMS) developed by Microsoft designed to store, retrieve, and manage large amounts of data efficiently. A RDBMS is a program used to create, update, and manage relational databases. A relational database is a type of database that stores and provides access to data points that are related to one another. Relational databases are based on the relational model, an intuitive, straightforward way of representing data in tables. Data is stored in databases in a variety of ways. Systems that you may not associate with being a database often use database technology. Some examples are accounting, ERP (enterprise resource planning), MRP (manufacturing resource planning), and almost any program that stores information. When requesting database data during the discovery process it is best to ask for a data dictionary. According to the U C Merced Library, a Data Dictionary is a collection of names, definitions, and attributes about data elements that are being used or captured in a database, information system, or part of a research project. It describes the meanings and purposes of data elements within the context of a project, and provides guidance on interpretation, accepted meanings and representation. A data dictionary also provides metadata about data elements. The metadata included in a data dictionary can assist in defining the scope and characteristics of data elements, as well the rules for their usage and application. This article applies to split Microsoft Access databases that have a separate Microsoft Access BE file that the FE is linked to and databases that have a Microsoft Access FE linked to a Microsoft SQL Server BE. If your Access database is a single file (combined FE and BE) you should split the database into a separate FE and BE for better multiuser performance. By sharing we are referring to placing a single Microsoft Access FE .accdb file at a single location on your computer network and then making a shortcut to it on multiple users’ computers as a means for them to launch and use a Microsoft Access database. Such a configuration can lead to file corruption. When that happens, the database is unavailable until the FE file is replaced. You should never place the Microsoft Access FE file on a file sharing service like Box, Dropbox, Google Drive, iCloud, OneDrive etc. The synchronization function these services run to allow multiple users to work on a document or spreadsheet will corrupt a database. Another problem with a shared FE configuration is that it is not easy to see which users on the network have the database open. When the database is open the Access FE .accdb file is locked. This prevents the deployment of any updated Access FE .accdb files, which is necessary when a new version of the FE needs to be deployed to fix a problem or add new functionality. Therefore, WSI recommends placing a copy of the .accdb file on each user’s computer in a folder on their C: drive. This will also improve database performance. The drawback to this approach is that you must go to each users’ computer and replace the Access FE file when it is updated. If you rarely update the FE file this is not a significant concern. If you do update it frequently a program or batch file can be written and installed once on each database users’ computer that will check for the existence of a new Access FE at a specific network location. If a new Access FE has been placed in this location, it will be transferred automatically to each database users’ computer when they run the program or batch file and launch the latest version of the Access FE file. This frequently asked question may seem like a simple question at first, however it involves many factors that can drastically change the answer. Number of database developers assigned to your project 14. Will you be doing some of the development or will WSI be doing it all 15. Whether or not training is necessary 16. Conversion of data from a previous system into your new system To determine how long it will take to develop a specific new database system some upfront investment is required. Using Microsoft Access to View Legacy Data At Winning Solutions, Inc. (WSI), we frequently encounter new and innovative applications for the robust Microsoft Access database system to address our clients' real-world challenges. I'd like to share a particularly unique case in which we provided a critical solution. Client Challenge: A client had transitioned to a new business software suite, replacing an outdated system. The vendor of the new software did not facilitate the migration of data from the old system, which is unusual. Typically, one would expect a vendor to provide data migration services, especially when transitioning from legacy systems. Faced with the inability to access historical data necessary for day-to-day operations, the client approached WSI for a solution. WSI's Solution: The challenge was that their old software was incompatible with their new hardware systems. We took the following steps to assist the client: Data Extraction We procured the old software and successfully extracted all historical data, ensuring no data loss during the process. Database Creation Using Microsoft Access, we developed a new database to house the extracted data securely. This solution was tailored specifically to be compatible with the client's current hardware. Search Functionality We designed a user-friendly search form within the database, enabling the client's team to easily search for and retrieve information as needed. Read-Only Access To maintain data integrity, we set up the database in a read-only format. This measure prevents any modifications to the old data, which is crucial for archival accuracy. All new data entries and amendments are made through the new software system. Benefits Delivered: This approach not only resolved the compatibility issues but also ensured that the client could continue to refer to their historical data without hindrance. The read-only setup preserves the data's reliability, which is vital for maintaining accurate historical records.
